How to do an inventory of materials?
These are the following commands you can use.
FIND – command to search inventory database.
DELETE – command to delete record.
VIEW – command to view specific status of records after an inventory.
REFRESH – command to refresh database and tables.
SORT – command to sort inventory list by accession number.
GENERATE – command to generate inventory list and status list.
PRINT –command to print the result of the inventory or specific status of the records in the inventory list.
CLOSE – command to close inventory module.
Reminder before doing the inventory: make sure that the accession list is already generated and imported.
How to generate accession list?
1. From Main menu, click Files button
2. Select Book item
3. At the upper right corner of Cataloging module, there is dropdown menu, click it.
4. From dropdown menu, select Accession (All) then click Add button beside it.
5. Wait until processing finished (message will prompt and show how many accession number generated).
How actual inventory may be done?
1.From Inventory menu select a material type to inventory.
2.Import your accession list by clicking Inventory list radio button.
3.From Inventory menu, click Generate button (wait until the processing is finished).
Another procedure in doing an inventory:
1. Capture the barcode number or label using barcode scanner of all the materials. You can use Microsoft excel or Notepad as your application to save the data.
2. After capturing all the accessions or barcode labels, you have to save the file in text file format.
Sample entry:
HS000001
HS000002
HS000010
…
3. Click LOAD button to load saved text file.
4. Then click PROCESS command button to process updating the list.
5. Wait until message will prompt indicating the processing is finished.

- Click On-shelf radio button for physical inventory.
- Type the accession number of a material inside the first text box then press ENTER.
- The information of a material in the inventory list will be updated with additional information of date and status.
- Continue doing this until the physical inventory of the materials finished.
