How to catalog books?
CATALOGUING PROCEDURE
All button will show all records and view it one at a time by pressing arrow buttons or buttons with individual letters and to show records beginning with a letter that clicked.
Print is to print all records in the database.
Close is to exit from the cataloguing module.
View is to view the record into card format, full display or Marc display.
Accession is to view the Accession list. Click Accession and accession list tabs will appear. Click tabs for books if you want to see the listing by clicking Refresh button.
Reset button is to set back the TimesOut data to zero (0).
Statistics button is to view cataloguing output of the cataloguer from different date and time frame.
Archives button is to view all records deleted from database and opted to have in archives records.
Acquisition is to automatically put basic information of books into Acquisition module textboxes by clicking the Save radio button then click Acquisition button or get basic information from the Acquisition records by clicking Load radio button then click Acquisition. Input box will appear to type the keywords you want to search from Acquisition record. If there are hits, select the right book/materials by double clicking the title, then click Add button to automatically put into the text boxes the basic information of the books.
WebSearch is to search books or materials from different Web Opac. Just type the search expression into the text box click drop down list to select which Web Opac are you going to search then click Web Navigation button.
Ascii button is just to show the Ascii characters by clicking this button.
Load Marc is to import the Marc save file and load automatically in their respective text boxes.
Save Marc is to convert your record into Marc file format.
Add button at the right corner of the form is to add record for printing (listing, call number label) and regeneration of Accession list.
Print button at the right corner of the form is to print the pre-selected records (listing, call number label) and printing of book card, card catalogue, and shelf list card.
NOTE:
Sample entry in the database will help you as to format and structure of encoding. For multiple entries like in the Creator, Access points, Accession number have to use semi-colon “;” as delimeter.
Features and encoding procedure for other data entry modules are the same with the Books except for other feature commands.
- Find/Search button is to search records from the database. Every time you click this button, input box will appear where you can encode your search expression then click Ok.
- To encode New record, click Add button and all the text boxes will become empty and unlock. It will change the Add icon into Save. Click Save to save record into the database and the text boxes will again be locked. Note: Every time you click Save, it will also save the authority records (Name and Subject) into the authority database and it will also save the accession number into the Accession database.
- To Delete existing record, click Delete button. It will prompt message “Are you sure you want to continue? Yes or No”. If you click YES, it will ask again a question “Do you want to have in archive record?” Then if click YES, it will ask again “What reason to delete?” and the input box appears to encode your reason. After you provide the reason, it will delete the record and save it into the “Archive” database. You can reinstate the deleted record by clicking Archives button, then click tabs for Book or tabs for Special Materials, then select a record you want to reinstate by double clicking the Title tab, then close the Archives module then click Add button, and it will automatically put the information to their respective text box for editing, then click Save button to save the record into the database. Note: You can only delete one record at a time.
- To Edit existing record, click Edit button then change the Edit icon into an Update and unlock the text boxes. After you edit the information, then click the Update button to take effect edited version and change again the Update icon into Edit.
